The story
GymTrack started alongside real independent gyms — clubs and studios run by people who care deeply about their members, and who spend their evenings reconciling notebooks, chasing renewals over the phone, and guessing what a corporate sponsor owes them.
The software that could fix this was built for someone else's gym: bloated, overpriced, and blind to how independent gyms actually run. So we built the tool we wished the front desk already had.
The problem
Most gyms don't fail at coaching — they lose money to guesswork. Three patterns come up in almost every gym we've worked with:
Paper registers
Memberships tracked in notebooks and spreadsheets mean nobody really knows who is paid up, who is overdue, and who quietly stopped coming.
Missed renewals
Members rarely lapse on purpose — they forget. Without reminders, every forgotten renewal is revenue that walks out the door.
Opaque sponsor arrangements
Companies covering their staff's sessions is common — but who owes what, for how many sessions, is usually a guess at the end of the month.
The mission
Give every independent gym the same operational power as the big chains — modern software that's fast to learn, affordable to run, and built around how gyms actually work.
We obsess over the details that matter at the front desk: fewer taps, clearer numbers, and a system that always knows who is paid up, who is due, and who needs a nudge. Everything else follows from that.
How we build
- 01
The front desk comes first
A busy desk has no patience for slow software. Every flow is measured in taps — checking a member in takes two.
- 02
Every action is accountable
Payments, check-ins, renewals, role changes — everything lands in an immutable audit trail with the person who did it.
- 03
Real gyms are the spec
Cash at the desk, members without smartphones, companies sponsoring staff — we design for how gyms operate, not how vendors assume they do.
- 04
One tool, not seven
Members, money, reminders, and reports live in one dashboard. Nothing to duct-tape together, nothing to reconcile.
